Studio Operations Coordinator

Sanders Studios is an employee-owned visualisation company working with architects, property developers and superyacht designers from around the world. We are looking for a highly organised and proactive Studio Operations Coordinator to become the operational backbone of our studio.

This is a varied and trusted role combining administration, HR coordination, finance support and compliance. You’ll act as the central point connecting senior management, the team and our external partners (accountants, HR provider, IT support, suppliers).

The Role

You will ensure the studio runs smoothly day-to-day while maintaining strong governance and operational efficiency. The position suits someone who enjoys responsibility, variety, and improving processes rather than repetitive admin tasks.

Key Responsibilities

Office & Team Support

  • Answer low volume phone calls and provide general office administration
  • Coordinate between senior management and team members
  • Manage team calendars, bookings and holiday/sickness tracking
  • Book travel and accommodation
  • Coordinate training opportunities
  • Handle studio logistics, maintenance and suppliers
  • Manage subscriptions and company overheads

HR Coordination (supported by external HR provider)

  • Act as HR point of contact
  • Support onboarding/offboarding processes
  • Maintain employee records and policies
  • Assist with performance and people processes

Finance & Payroll

  • Invoicing and banking using Xero
  • Liaising with external accountants
  • Payroll administration (Liaising with UK/ offshore agents)
  • Basic monthly cashflow forecasting and monitoring
  • Financial record keeping

Company Secretarial & Compliance

  • Corporate governance and legal compliance
  • Contracts, insurance and policies
  • Maintaining statutory records
  • Supporting Employee Ownership Trust administration

Systems & IT

  • Maintain internal databases
  • Liaise with IT support providers
  • Assist with general tech troubleshooting

Additional Projects

  • Grant applications and funding support
  • Supplier coordination
  • (Optional bonus) light social media or marketing assistance

Required Skills & Experience

  • Previous administrative experience (preferably B2B environment)
  • Strong IT skills (including finance software such as Xero or similar)
  • Excellent organisation and attention to detail
  • Ability to manage multiple responsibilities independently
  • Confident communicator across all levels of a business

Desirable (Not Essential)

  • HR administration experience
  • Experience in creative industries, architecture, design or property
  • Experience within an Employee Ownership Trust (EOT)
  • Process improvement mindset
  • Social media familiarity
  • InDesign experience
  • G Suite experience
  • Access to Falmouth based HQ once a week

What We Offer:

  • Salary: £26,000 – £32,000 pro rata, depending on experience
  • 25 – 30 hours per week (part-time). We’re open to discussing how these hours are structured to suit both the business and the successful candidate
  • Option to work on-site or remotely, with some in-person time encouraged (typically around one day per week)
